Why Answering The 5 W’s Means More Effective Event Staffing

A pretty basic principle: you won’t know how to get somewhere unless you know where you’re going in the first place. This principle, not unsurprisingly, extends to event staffing — and event production as a whole.

Which is why one of the keys to effective, successful event staffing is having a firm understanding of the priorities for your event. After all, if you’re not sure what’s important for your event, then it’ll be quite hard for your events agency to select the most appropriate staff for your event.

One of the best ways to drill down to the core and identify your event priorities? It’s called the 5 W’s. The 5 W’s represent five main questions that must be answered for highly effective event staffing.

Here they are:

  • Who will attend the event? It’s important that both your internal marketing team and your event staffing agency has real clarity on the demographic data (and other information) of the event’s target audience. This will allow for the selection of event staff and brand ambassadors who can most meaningfully connect with the event attendees.
  • What kind of event is it? For example, is the event a corporate function? A charity fundraiser? A product launch? Or some other kind of event?
  • When will the event take place? Individual staff within the rolodex of an event staffing agency often have different schedules and availabilities. So for your event agency to organize a cohesive, organized staffing team, it’s important to know exactly when your event will be taking place.
  • Where will the event be hosted? Knowing where specifically your event will be hosted is integral to the event staff selection process.
  • Why do you (or your company) want to do this event? In other words, what is the fundamental objective or the driving reason for creating this event? By understanding this, your event staffing agency can select staff which have the training to most effectively garner the results you’re aiming for.

By getting the answers to these 5 W’s, both your company and your chosen event staffing agency will be in a strong position to mutually produce an event which is loved by all guests — and which delivers a positive ROI.

And creating events which drive your company’s ROI upwards is a primary goal of the Femme Fatale Media team. Our core philosophy is always results-driven, which is why so many clients are more than happy with their collaboration with us.
